Records Management Network Meeting held on Friday 22nd September 2006

1: Welcome
Toula Varvarigos (Acting Manager, Records Services, PROV) welcomed guests
and introduce the program for the morning
2: Hamers is here!!
Marilyn Donisi (Education and Training, PROV), presented on the upcoming
Sir Rupert Hamer Records Management Awards, recognising excellence and
innovation in Records Management in the Victorian Public Sector. The presentation
included the time frame for nominations, who is eligible, as well as the
awards ceremony. More details about the Hamer Awards can be found here.
3: New faces at the RMAA
Ross Latham gave the audience an update on who’s new at the RMAA
in addition to notice of the upcoming RMAA Victorian State Seminar –
which will focus on where records management, information management and
knowledge management intersect.
4:Emma Murray (Disposal and Documentation, PROV) introduced
PROV’s new Common Administration Retention and Disposal Authority,
as well as the new Transfer Guidelines and Transfer forms recently implemented.
Emma accompanied the introduction with an outline of the new processes
set out in the guidelines. A copy of this presentation can be found here.
5: Merrick Morris (Manager, Custody, PROV) spoke about
outstanding records and current action taken to recover those “wayward
files”. Merrick also introduced a review of authorised officers
currently underway and a planned survey to gauge custody service requirements.
6: Susie Leehane (Manager, Volunteers Program, PROV) discussed
the valuable contribution PROV’s volunteers make toward the availability
of records at the State Archives, with the substantial contribution toward
the digitisation of documents for web-based retrieval.
7: Graeme Hairsine (Archival Systems Support Manager, PROV)
followed Susie’s discussion of web-based records retrieval with
an update on the Digital Archive and its milestones over the last twelve
months. Graeme also talked about the current efforts to align physical
and digital transfers to create one holistic transfer process. A copy

8: Howard Quenault (VERS Program Director, PROV) rounded
off the meeting with a presentation on the ADRI EDRMS Business Case Infrastructure
Framework, the elements of a good business case for EDRMS implementation
and his experience in business case development during his time as the
VERS Program Director. . A copy of this presentation can be found here.
9: Michelle Tolliday concluded the meeting and invited
all participant to enjoy a light lunch and the opportunity to speak directly
with many of the meeting’s speakers.
