11. About this publication

1. STOP PRESS: Increase in Record Deliveries to Reading Rooms
Following the Labour Day Public Holiday, from Tuesday 14 March, you will notice an improvement in record deliveries in the VAC Reading Room. An extra record delivery will now take place at 9:30 am every weekday, meaning you can place orders before 4.00 pm which will be available just 30 minutes after the Reading Room opens. It also means that orders of 20 records will be completed one delivery sooner, and you'll have the potential to view up to 30% more records in a week!

The existing limits of 20 records per researcher, 4 records per delivery and deliveries on weekdays only, still apply.

A summary of the delivery times is below:
Orders after 4.00 pm but before 9:30 am are delivered at 11.00 am
Orders after 9.30 am but before 11:30 am are delivered at 2.00 pm
Orders after 11.30 am but before 2.00 pm are delivered at 3:30 pm
Orders after 2.00 pm but before 4.00 pm are delivered at 9.30 am the next week day.

2. 1956 Melbourne Olympics Images - Now Available to View Online
PROV holds the negatives of approximately 2500 official photographs taken during the 1956 Melbourne Olympics. A selection of these images are featured in the Online Exhibition Image Galleries section of the PROV website.

Now, in addition to the images highlighted in the online gallery, PROV has developed an extensive online database which allows you to search through the entire collection of images using keywords to find a specific event, sport, venue or athlete. The images are also accompanied by captions from the original photographers' notes.

To access the 1956 Melbourne Olympic Photographs database, visit http://www.prov.vic.gov.au/olympics/ and click on 'search the full collection'.

3. Exhibitions
People and Parliament: Landmark Decisions 1855-2006
People and Parliament: Landmark Decisions 1855–2006 is the current free exhibition on display at the VAC.

People and Parliament was developed to coincide with the 150th anniversary of the establishment of the Parliament of Victoria and the introduction of ‘responsible government’ in the fledgling colony. The exhibition explores landmark decisions made by various Victorian governments over the past century and a half through original government records and historic items from PROV's holdings and various other government agencies.

People and Parliament: Landmark Decisions 1855-2006 is on display until 31 May 2006; admission is free. A glossy full-colour catalogue of the exhibition is available for purchase for $5.00.

Free educational resources for primary and secondary students, together with transcriptions of many of the records featured in the exhibition, can be accessed online at http://www.prov.vic.gov.au/peopleparliament

Touring Exhibitions
PROV has a number of touring exhibitions and displays which are loaned out free of charge to cultural, historical and educational institutions, libraries and various other organisations throughout Victoria.

These exhibitions are of varying themes, but are all based on the stories, people and topics gleaned from records held in PROV's custody. To view the PROV calendar for touring exhibitions, visit: http://www.prov.vic.gov.au/online/default.asp#touring

Online exhibitions and resources
Most of these exhibitions have a corresponding online component which illustrates the content and themes of the exhibitions. These can be viewed at http://www.prov.vic.gov.au/online exhibitions

If you are interested in borrowing any PROV touring exhibition, or would like more information on them, contact Asa Letourneau, Exhibitions Officer ph. (03) 9348 5675 or email: asa.letourneau@dvc.vic.gov.au.

4. What's New
New additions to the online index to outward passengers
The latest installment (1857-61) of the Index to Outwards Passenger lists on the PROV website, which shows that 282,000 people departed Victoria during the first ten years of recorded passenger lists, was launched in December 2006.

At the well-received volunteers' end of year BBQ, Keir Reeves spoke of colonial transmigration and life on the goldfields. Justine Heazlewood thanked approximately 50 volunteers gathered presenting Christmas gifts and certificates of recognition

January 2006: annual opening of closed Section 9 records
At the turn of every new year, PROV completes a process of reviewing and, when appropriate, opening units subject to closure under section 9 of the Public Records Act.

Below is a list of all units that have been opened. The date range [in square brackets] is that for the units opened and the VA cited is that for the agency which created the units at that time. * These openings mark the first time that the portion of the Teacher Record Books in PROV custody have been opened to public inspection since their transfer. It should be noted that both the hard copy (VPRS 13579/P1) and the microfilm copy consignments (VPRS 13718/P3 for the copy at the BAC RR and VPRS 13718/P4 for the copy at the VAC RR) are subject to section 9 closures. Owing to the format of the records, the microfilm copy could only be opened to teacher record number 48999 whilst the hard copy could be opened to teacher record number 49499. Consequently anyone wishing to access teacher history numbers 49000 - 49499 inclusive can only access the hard copy register in VPRS 13579/P1. This detail has also been incorporated into the "How To Use The Records" entry of the relevant series registrations on the website.

New Series Available on the PROV Online Catalogue.
Victorian Public Record Series (VPRS) are occasionally reprocessed as research by PROV archivists uncovers more about the records and their context. The lists appearing below may include some reprocessed series, as well as new accessions and transfers of additional consignments to existing series. The lists may also include records that are closed (in part or whole) to general public access in PROV reading rooms. If a record has been closed under section 9 or section 10 of the Public Records Act, you may need to apply for access under Freedom of Information. To do this, you will need to know which government department is responsible for the particular records and staff in our reading rooms can provide assistance with this.
In some instances you can also apply for Special Access to some closed records by writing to the Keeper of Public Records for permission. PROVguide 14 has information on how to go about this.

Our next seminar, to be held at Victorian Archives Centre on Tuesday 7 March, is Back to School: Records of Students, Teachers and Schools at PROV. Archivist Jack Martin draws on his own experience with education as a student and teacher, and form working directly with some of the records, to present this informative introduction. Note that the seminar commences at 10:30am and runs for two hours to 12:30 pm (a part of our Seminars Brochure advertised a starting time of 10:00 am by mistake).

To see the complete program of seminars on offer until June 2006, pick up a brochure from the VAC or BAC or download it from the PROV website. For further information on our Seminar Series, phone (03) 9348 5600.

Archival Support Program (ASP), February - November 2006
'Introduction to Archives' at the Victorian Archives Centre on Saturday 8 April 2006 is the first of four Archival Support Programs that will be held this year. 6. Funding and Development Opportunities: Museums Australia (Victoria)
Regional Exhibition Touring Initiative (RETI)
The Regional Exhibition Touring Initiative (RETI) is an innovative program developed by Museums Australia (Victoria) to support and improve museum sector touring activity in Victoria. RETI has been assisting museums to develop touring exhibitions for regional Victoria since 1999. The program is administered by Museums Australia (Victoria) with funds received from the Community Support Fund through Arts Victoria.

Now in its seventh year RETI has supported fifty-eight regional Victorian museums and has devolved a total of $220 000 towards the development of touring exhibitions.

The RETI Fund
Museums Australia (Victoria) invites collecting organisations to apply for support under the Regional Exhibition Touring Initiative grants program for the development and touring of historical or cultural heritage exhibitions including art, science, social and natural history, to metropolitan and regional Victoria.

Three grant categories are available: Category A, 'Starting from Scratch' (up to $4000): Category B, 'Touring' (up to $4000) and Category C, 'Infrastructure for Touring Exhibitions' (up to $5000) The closing date for all three categories is Thursday 13 April 2006.

Professional Development
The RETI program also offers ongoing advice and professional development opportunities in exhibition development and touring. In 2006 the following information sessions, seminars and workshops are available:

Getting started: preparing your RETI grant application (February); Bright ideas: What next? (March); Preparing the exhibition brief (April); Project management: What is it? (June); Shaking the money tree: pathways to funding (July); Design savvy on a shoestring budget (August); Marketing: an introduction (September); On the road: preparing your exhibition for tour (October); Storytime: RETI lunch (November)
