1. PROV involved in an Australian first regional heritage agreement

A collective agreement established in Ballarat between a number of its key historical and cultural organisations is the first of its kind outside a capital city anywhere in Australia.

Developed by the Ballarat Cultural Network, the Memorandum of Understanding (MOU) will change the way in which Ballarat's historical and cultural collections are dealt with in the face of disaster.

Launched on 11 August at the Art Gallery of Ballarat, the MOU forms a framework where network members agree to assist each other to prepare for and respond to emergencies or disasters such as fire or floods. The cooperative approach is a dynamic and strategic move in dealing with Ballarat's priceless collections and was drawn up in response to the city's previous experiences of collection damage such as the flooding at the Ballarat Gold Museum on New Year's Day in 2007.

Justine Heazlewood, PROV's Director and Keeper of Public Records and guest speaker at the launch said, "The MOU…ensures that we do our uttermost to provide a response network in the event of disaster in the Ballarat district. It would indeed be a disaster if prized and priceless artworks and cultural items such as the original Eureka flag or nineteenth century maps and plans of Ballarat are not given every chance possible to be safe from occurrences that could possibly threaten their existence."

Signatories of the MOU include: PROV's Ballarat Archives Centre; The Sovereign Hill Museums Association & Gold Museum; Ballarat Historical Society; Central Highlands Regional Library Corporation; City of Ballarat; Friends of the Ballarat Botanical Gardens; University of Ballarat; The Eureka Centre and Art Gallery of Ballarat.

For further information about the Ballarat Collections Network or the Memorandum of Understanding please contact PROV's Community Archives team by phone on (03) 9348 5600 or email.

2. Farewell to Shauna Hicks

Shauna Hicks, Assistant Director Access Services has resigned and her last day with PROV was Friday 7 August. Here is a farewell message from Shauna.

"I remember arriving at PROV from Canberra in February 2003 not knowing very much about Victoria but I was determined to learn more. The easiest way was to get out there and meet people and I am pleased to say that over the last six years I think I have travelled to most places. Mildura, Echuca, Shepparton, Lakes Entrance, Bairnsdale, Wodonga, Yarrawonga, Bendigo, Ballarat, Warrnambool, Colac, Colbinabbin, Warragul, Leongatha, Benalla, Carisbrook are just some of the places that I have fond memories of. I would like to take this opportunity to thank all those people who welcomed me so warmly to their meetings and put up with my sometimes odd (Queenslander) pronunciation of Victorian place names.

"I am also very pleased to have taken PROV in an online direction over the last six years making indexes and digitised records more accessible and freely available via the PROV website. I am especially proud of the collaborative project with FamilySearch to digitise and make freely available the wills, probates and inquest files to 1925. The feedback on this project has been really good and I thank everyone for supporting the project.

"Although I am retiring from government after 35 years, I am not retiring or moving back to Queensland (not yet anyway). I am starting my own research and consultancy business and will still be out and about in Victoria. One project that I will be involved with is a series of family history roadshows called Unlock the Past, so you may find that I will be visiting an area near you soon. Do please come up and say hello."

5. Delve into your family tree

6. Further discoveries as PROV volunteers work on outward passenger lists

More historical gems are being discovered as PROV volunteers continue to index the outward passenger lists.

Amongst the names being indexed, famous Australians from our past appear, including Mr Banjo Paterson who was recorded travelling to New Zealand on November 7, 1901.

Having reached the early 1900s, volunteers are noting with interest the quantity of ships carrying several hundred men travelling to Cape Town to engage in the Boer War.

They are also observing the reoccurring voyages made by groups such as the Pollards Lilliputian Opera Company. The company has been listed several times throughout the passenger lists, the most recent being a departure on the Pilbarra to Adelaide on 27 June 1900. There were 42 people in the company, including seven boys aged between nine and eleven and 23 girls aged between six and twelve.

Further research by the PROV volunteers sheds light on the company. They discovered that in the mid 1880s, this famous company of talented children was formed in Launceston by James Pollard. They performed the latest musical theatre and opera around the world, and were acclaimed in Australia and New Zealand. Their first production was the new London smash hit by Gilbert and Sullivan, HMS Pinafore.

The company was initially based on the Pollard's extended family of 13 children. Later on children were recruited from working-class Melbourne families and the Melbourne Orphan Asylum. When the children turned 16 they were considered too old to perform with the troupe and new younger recruits were used in their place.

Visit the PROV website to access the online index to outward passengers.

8. Last Days at the VAC! An Aboriginal Moomba: ‘Out of the Dark'

PROV's newest touring exhibition An Aboriginal Moomba: 'Out of the Dark' is on display at the VAC until 31 August before being available for loan free of charge to community groups and organisations.

The exhibition features high quality reproductions of photographs held in PROV's collection and images reproduced from the personal scrapbook of political activist and film-maker Bill Onus. They were taken at the all-Indigenous theatrical display, An Aboriginal Moomba, which was held at the Princess Theatre, Melbourne in 1951.

The performance was developed in response to the absence of any Indigenous Australian content for the celebrations of the Centenary of Victoria and the fiftieth anniversary of Federation in Australia. The performance was enthusiastically received by audiences and highly acclaimed by the critics.

An Aboriginal Moomba: 'Out of the Dark' is based on a 2008 exhibition entitled Making a Show of It, Indigenous Entertainers and Entrepreneurs in 1950s Melbourne which was developed by City Gallery, Melbourne in partnership with PROV.

To book the exhibition for your community facility, contact Asa Letourneau by phone on (03) 9348 5600 or email.

13. Building works at the Victorian Archives Centre – disruption to services

As part of a program of building works being conducted by PROV to improve its facilities, there will be some disruption to services to the public.

The VAC including the Reading Room is closed on Mondays and Saturdays until February 2010. PROV will conduct business as usual including the reading rooms on Tuesdays to Fridays. Public tours of the VAC are suspended until February 2010.

To bring all PROV services into alignment during this time the Ballarat Archives Centre (BAC) including the Reading Room is also closed on Mondays until February 2010 but is open on Tuesdays AND Wednesdays (in lieu of Mondays).
